The Danish Refugee Council (hereinafter: DRC, for Danish Refugee Council) was founded in Denmark in 1956 and has since grown into an international humanitarian organization with over 7,000 employees and 8,000 volunteers. Headquartered in Copenhagen, and present in 40 countries, the DRC is a non-governmental, non-profit, politically neutral and independent, non-denominational aid organization.

1. Context

DRC has been operating in West Africa since 1998. The DRC Regional Office West, North Africa and Latin America (hereinafter: RO WANALA RO) is based in Dakar, Senegal, and covers thirteen countries in outside Senegal. Led by the Regional Executive Director for the West, North Africa and Latin America region (hereinafter: the WANALA region), the RO WANALA of DRC supports and provides strategic guidance for the Offices Countries in the WANALA region, which currently includes: Algeria, Burkina Faso, Cameroon, Central African Republic, Colombia, Libya, Mali, Mexico, Niger, Nigeria, Senegal, Chad, Tunisia and Venezuela.

Apart from the Human Resources and Administration Intern position, the regional Human Resources team includes the following positions:

  • Regional Human Resources Manager
  • Regional Human Resources Coordinator
  • Regional Recruitment and Mobility Specialist
  • Regional Human Resources Manager
  • Human Resources & Administration Intern

2. Objet

Based in Dakar within the DRC West, North Africa and Latin America office, the HR Trainee supports the Regional Recruitment & Mobility Specialist, their role being largely focused on managing recruitment.

The HR Trainee also supports the Regional Human Resources Manager and Coordinator in managing an HR service (cost/time/quality) adapted to the needs of the DRC Country Offices. In addition, there will be frequent interactions with all departments of the regional office and regularly with the management and coordination teams of the DRC Country Offices.

3. Responsibilities

In detail, the responsibilities of the HR Trainee are as follows:

Objective 1: Recruitments (50%)

For certain recruitments (distribution to be agreed) and under the supervision of the Regional Human Resources Manager:

  • Support the Hiring Manager in defining their needs (job description, classification, etc.);
  • Support the Hiring Manager in defining the selection stages and their schedule including several contacts;
  • Reformat/optimize job postings based on an initial proposal from the recruiting Manager;
  • Publish and distribute advertisements including proactive search for candidates;
  • Ensure the first sorting of applications;
  • Ensure the administration of all selection phases and communication with all stakeholders;
  • Provide feedback to candidates who have passed interviews;
  • Manage reference requests, prepare and send job offers;
  • Make contract requests and ensure pre-integration follow-up (receipt of the employment contract, insurance information, etc.).

Objective 2: Contribution to a cross-functional HR service adapted to the needs of the DRC Country Offices and the Regional Office (30%)

This contribution includes:

  • Assistance in using DRC HR tools (HR Talent Recruiter, Dynamics, etc.);
  • Preparing materials to explain how HR works to managers and staff: toolbox, FAQ, communication materials;
  • Support for the organization of events (HR) and participation: HR workshop at regional level and also at country level, networking and meetings with HR representatives from other international organizations;
  • Current HR administration

The tasks listed above are not exhaustive. They may evolve at the request of the Regional Human Resources Manager, as well as at the request of the Regional Head of Support Services and/or the Executive Director, taking into account the dynamics of needs and the environment.

Objective 3: HR tools – ERP (20%)

Under the supervision of the Regional Human Resources Manager and the Regional Human Resources Coordinator:

  • Provide one-off support based on precise specifications to countries experiencing problems with their HRIS
  • Participate in supporting and updating HR Master Data in Dynamics for countries in the region (particularly for countries experiencing difficulties)
  • Participate in supporting Country Offices regarding the digitalization of important Human Resources documents and their updating under Sharepoint
  • Participate in the digitalization of important documents for Human Resources and their updating under Sharepoint
  • Participate in bug resolution, in particular by following up occasionally with the Country Offices and/or headquarters
  • Help prepare workshops and training sessions on HR tools
  • Help prepare dashboards and extract HR information from Dynamics on demand

The tasks listed above are not exhaustive. They may evolve at the request of the Regional Human Resources Manager, as well as at the request of the Regional Head of Support Services and/or the Regional Director, taking into account the dynamics of needs and the environment.

4. Required qualifications

  • Professional experience of at least twelve months within a non-governmental organization (national or international) or within a donor (preferably, within an international non-governmental organization);
  • A Master’s degree, preferably general in social sciences, political science, international relations or Bioforce. A specialization in Human Resources Management is an obvious asset;
  • A perfect command (written and oral) of the French language and the English language (current level required with excellent writing skills, in particular to draft correspondence and/or to carry out possible translations between the French and English);
  • Perfect command of Microsoft Office (Word, Excel, Outlook, PowerPoint).

6. General regulations

  • The Trainee must follow DRC security, confidentiality and ethical guidelines, including the Code of Conduct and the Humanitarian Accountability Framework.
  • The Trainee must not engage in any other paid activity during the duration of their contract with the DRC without receiving prior authorization to do so.
  • The Trainee shall not engage in any activity that could harm the DRC or the implementation of any project during the term of the contract with the DRC.
  • The Trainee must not give media interviews or publish photos or other documents related to the project without prior authorization.
  • The Trainee must return all equipment borrowed for the project to the DRC after the end of the contract period or upon request.
